Scheduling interviews


Step 1: Prepare your information 

Before requesting interview scheduling support in the U of T Co-op Portal, please ensure you have the following information: 

Job ID & Job Title: This information can be found on the email notification that you received when the job posting closed for applications. Alternatively, navigate to “Jobs” on the left navigation pane and select “Job Postings”. The Job ID and Job Title will be listed here.  

Names of students you would like to interview: If you already selected your interview candidates directly in the portal by following Step 4 in the “Reviewing applications” instructions, please proceed with the steps below. 

If you didn’t preselect your interview candidates in the portal, you will need to gather their details by navigating to “Jobs” located in the left navigation pane and clicking on “Job Postings”. Next, click on the green number on the right of your desired job posting to view your applicants.

Step 2: Navigate to interviews 

Navigate to the “Interviews” section by selecting “Interviews” located in the left sidebar.

Step 3: Complete the schedule and interview form 

  1. Select “Schedules”: Once you are on the “Schedules” page, please click on the “Request a Schedule” button. 

2. Select recruiting season: Please select the year and term in which the co-op work term will begin. “Fall” is usually a September start date.  “Winter” is usually a January start date.  “Summer” is usually a May start date. 

3. Select interview model: To proceed with the interview form, please ensure that you select the required “Preselect to Alternate” field. 

4. Select interview date choices: Please select the dates that you wish to request for your interviews. 

5. Virtual interviews: Is your interview conducted virtually? Select “Yes” or “No”. If you select “yes”, please include the information for how students will access the interview on the box that appears on the page. This should include any links, conference call numbers, etc. If you do not have this information at this time, you can edit the schedule at a later time when the information is available. 

6. Time slot: Please select the time slots that you prefer for your interview. 

7. Number of rooms: Please enter the number you are requesting for your interview. If you are conducting virtual interviews, please enter “1” for the number of rooms. 

8. Location: If a specific location is desired, please choose it here. 

9. Interview length: Please select the appropriate interview length (minutes). 

10. Interviewers: Who will be interviewing the co-op student candidates? Add names of interviewers here. 

11. Is this your first-time interviewing U of T Co-op students? Select “Yes” or “No”. 

Step 4: Complete the additional information section

  1. Which Job ID and/or Job Title will you be interviewing for? 
    Please enter the Job ID and Job Title information. Please review Step 1 of these instructions for how to obtain this information. 
  2. Did you indicate which students you would like to interview in the applications section within this U of T Co-op Portal? Select “Yes” or “No”. If you already selected your interview candidates in the portal by sorting them (as outlined in Step 4 of the “Reviewing applications” instructions), please click on “Yes”. If you didn’t preselect your interview candidates in the portal, please enter the details of the students that you would like to interview. 

After you submit the form, the U of T Co-op Hub will review it and schedule the interviews for you.

Once interview scheduling is complete, an interview schedule will be generated and sent to you.

Reviewing your interview schedule in the portal

Once your interview scheduling is complete, you should receive an email from the Operations Hub with a PDF of your interview schedule. You can also review your interview schedule at any time by logging into the U of T Co-op Portal. 

  1. Navigate to the schedules page: All interview schedules can be reviewed on the main schedules page, which can be found by selecting “Schedules” under “Interviews” located in the left sidebar or selecting “Schedules” from the Interviews navigation bar. 

2. Review status of interview schedules: On the schedules page, you can view pending interview schedules (on the right-hand side of the page) and approved interview schedules (on the left-hand side of the page). The interview schedule’s status is also written under or beside the date of the schedule. If a schedule has been approved, students will automatically be invited to sign up for the interview. 

3. Review schedule details: To review the details of your schedule, click on the date of the schedule. On the review page, you will be able to see the interview date, time, location, etc. You can also see the position being recruited, the number of applicants, and the number of slots. Finally, you can review the interviews that have been scheduled and the applicants. 

4. Edit schedule: If you would like to edit your interview schedule, select “Edit Schedule”. You can edit any additional requests, the interviewer’s name, etc.

5. Overview of interview schedule: If you would only like a brief overview of your scheduled interviews, select “View Interview Schedule”. You will be able to see a condensed version of your interview schedule that includes the time of your interview and the name of your applicant.
